If the company’s fleet includes tens or even hundreds of vehicles that are used by different drivers and constantly move between different routes, it can be difficult to get a clear overview of the technical condition of the cars.

Technical problems inevitably occur, and the fleet manager should have an accurate and easily accessible overview of them.

So how to collect the information about the condition of the machine park as quickly as possible and store it more easily?

Make inspection digital

In Navirec’s solution, you can use an act that can be easily prepared and filled out using Google Forms. Each company can build the form according to its own needs and internal inspection process.

The form can be conveniently filled out by both drivers and managers, including from a mobile phone. It can be used during a routine inspection or immediately when a technical problem appears on the vehicle.

How to open the inspection form?

To fill out the form, select the vehicles or drivers menu in the mobile app and hold your finger on the vehicle or driver name to open the command menu. The inspection form is available in this menu, and clicking it starts the form filling process.

The command menu can also be opened by clicking on the vehicle or driver name and then clicking the three dots icon in the upper right corner.

Filling out the form is quick thanks to the multiple choice options, and it is also possible to add pictures of, for example, damage to the vehicle to the document

If it is a shared vehicle and a new driver takes over the car, the form helps determine exactly which faults the vehicle had before use, for example a dirty interior, garbage in the vehicle, missing accessories or body damage.

If the vehicle is rented for use by another company or sold, the form also helps get an accurate overview of the car’s condition before handing it over.

Information from the act automatically reaches the Navirec solution

When the form is filled out and saved, the data contained in it automatically reaches the corresponding vehicle in the Navirec solution. This means that the current technical condition of vehicles is always visible in the vehicle list.

The document is also saved as a PDF under the files related to the vehicle and can be downloaded later if necessary.
